What is Sales by State Report Pro?

It is a report that groups your WooCommerce orders by where they were shipped. Choose a country and each of its states or provinces becomes a row with its own totals for the dates you pick. You can sort it, search it and choose which columns to show, so the figure you are after is always a click away.

It looks and works like the reports already in WooCommerce Analytics, with the same date picker, filters and tables. If you switch Analytics off, the report moves under the WooCommerce menu and keeps working.

How do threshold alerts work?

Many US states require you to start collecting sales tax once your sales there pass a set amount in a year, often $100,000, and some also count the number of orders, for example 200. You can watch any state against a sales amount or an order count you choose, over a calendar year, a quarter, a month or a US IRS period.

At 80% the state turns yellow in the report and you receive an email. At 100% it turns red and you receive a second one. You decide the amounts, so confirm each state’s rules with your accountant.

How to get the numbers for your accountant

Switch the report to tax quarters, calendar months or US IRS estimated-tax periods, and every period appears as its own column with a total for each state. Gross sales, shipping, order tax and shipping tax each have their own column, so the figures that state returns ask for are already separated. Click Export to get a CSV, Excel or PDF file, or have it emailed to you once it is ready.

How to find the states worth targeting

Sort by gross sales to see your strongest states, then compare periods to see which ones are growing. That tells you where to spend on ads, free shipping offers or local promotions next.

Built by a store owner

Sales by State is made by Rodolfo Melogli, who has spent years building WooCommerce stores and writing about them at Business Bloomer. Getting a clean sales by state answer out of WooCommerce was always harder than it should be, so he built a report that stays fast on large stores and agrees with the totals in WooCommerce Analytics.

Preguntas frecuentes

Do I need WooCommerce Analytics turned on?

No. If Analytics is off, the report appears under the WooCommerce menu with the same features and figures.

Will it include orders placed before I installed it?

Yes. Existing orders are added in the background after activation, and a progress message shows until that finishes. New orders and refunds are recorded as soon as they are saved.

Does it tell me whether I owe sales tax in a state?

No. It reports what you sold and warns you near the amounts you set. It does not give tax or legal advice.

What are IRS estimated-tax periods?

They are the US windows for estimated tax payments: January to March, April to May, June to August, and September to December.

Which file formats can I export?

CSV, Excel (XLSX) and PDF. You can export the full report or only the current page.

What if I sell in more than one currency?

The report shows a warning and adds the totals together, the same way WooCommerce Analytics does.

Which orders are counted?

The same statuses WooCommerce Analytics counts, which by default leaves out pending, failed and cancelled orders. You can change this with the Order status filter.

What data does it store?

Each order's country, state, city, postcode and totals. No names, email addresses or street addresses. Deleting the plugin removes its data.

Which address is used?

The shipping address. Orders without one, such as virtual products, use the billing address instead.
