This set of releases tightens who can open and edit workflows, confirms new marketing signups before they count, and limits how much click data each workflow run stores. Some staff accounts may lose access to workflows after you update, so check that part first.
Workflow access now requires the Manage WooCommerce permission. Administrators and shop managers have this permission by default and keep full access. If you gave staff a custom role (for example, one that can manage orders but isn’t a shop manager), that role can no longer open Workflows. To restore access, give that role the Manage WooCommerce permission with your role editor plugin, or switch the person to the Shop Manager role. Shop managers can still edit workflows, but only administrators can set or change the function name in a Custom Function action. A shop manager who tries gets a notice and the action stays as it was.
The Change Role action no longer offers admin-level roles. Administrator, Shop Manager, and Editor are removed from the role list, and the action won’t change the role of a customer who already holds one of them. If an existing workflow was set to assign one of these roles, it now shows that role as not allowed, and each skipped run is recorded in the workflow log. The Custom Function action also now logs an error when its function is missing or can’t run, where it used to skip without telling you. Review your workflow logs after updating to catch any workflow affected by either change.
New signups from the communication signup form are confirmed by email. When someone subscribes with a new address, AutomateWoo emails them a confirmation link, and they’re subscribed (and your opt-in workflows run) only after they confirm. This stops anyone from signing up an address they don’t own. Repeat submissions from the same source are also limited. Unsubscribe and communication preference links now use a signed, expiring link instead of a permanent customer ID. Links in emails you’ve already sent keep working for now, and a new option on the Tools screen lets you reset all existing preference links if you ever need to.
Click tracking is capped at 100 clicks per workflow run by default. You can change the number, or set it to 0 for no limit, in AutomateWoo > Settings > General under Misc. The Email & SMS Tracking report now explains how to read click numbers: clicks are counted per workflow run, so they include repeat clicks, forwarded emails, and email security scanners, and they don’t show how many people clicked. Open and click tracking links now carry a code for the run that sent them, so stray or faked requests don’t add to your numbers or count toward conversions.
Cart and email capture now applies to guests only. When a shopper types an email that belongs to a registered account, AutomateWoo no longer starts a guest record or saved cart for it. Registered customers are tracked when they log in or place an order, as before. These releases also fix a fatal error when another plugin triggered guest email capture during a background or API request, show the client IP used for rate limits on the WooCommerce > Status screen, and open the default tab instead of an error when a settings or reports link points to a tab that doesn’t exist.
How to get it
Update to AutomateWoo 6.9.4 in your WooCommerce dashboard. This release requires WooCommerce 11.1 or higher, so update WooCommerce first if you’re on an older version. After updating, confirm that every staff member who manages workflows has an Administrator or Shop Manager role, or a role with the Manage WooCommerce permission. Then check your workflow logs for any Change Role or Custom Function actions that are now being skipped. The click tracking limit and email confirmation apply automatically.
