How to email your affiliates

This guide covers how to contact your affiliates via email to keep them engaged.

You can manage your communication automatically by syncing affiliates to your preferred email marketing tool, emailing one affiliate directly, or exporting/importing your affiliates’ email list for a bulk campaign.

Why email your affiliates?

  • Share updates: New launches, seasonal sales, payout or policy changes, and expired promo assets.
  • Boost motivation: Top-seller stories, selling tips, and encouragement toward the next commission tier.
  • Build trust: A simple, personalized thank-you makes affiliates feel valued as an extension of your team.

The most efficient way to manage bulk emails is an automatic sync.

Using the plugin, you can seamlessly connect your store to an email marketing service like Mailchimp, and every newly approved affiliate is added straight to your list.

No manual exports are needed.

To send a quick, direct message to a specific affiliate:

  1. Go to WordPress admin > WooCommerce > Affiliates Dashboard.
  2. Select the specific affiliate from your list.
  3. Locate the email icon (shows Email Affiliate on hover) on the right side of the affiliate’s row.
  4. Click the icon to automatically open your device’s default email app. Alternatively, right-click the icon to copy the email address to use elsewhere.

To send a mass email campaign manually, you first need to extract your affiliate data into a CSV file.

  1. Go to WooCommerce > Affiliates Dashboard.
  2. Click Export at the top of the list.
  3. Choose the Standard CSV option. This will download a file containing all of your affiliates’ names, email addresses, commissions, referrals, etc.
  4. Clean up your data: Keep only the Email, First Name, Last Name, and other necessary columns. Remove unwanted columns before importing the file to your email tool.

3. Import your list to an email marketing tool

Once your CSV file is ready, upload it to an email marketing platform like ActiveCampaign, Klaviyo, or MailerLite. This allows you to design branded newsletters and track open rates.

  1. Log in to your preferred email marketing platform.
  2. Go to the Audience, Lists, or Contacts section.
  3. Choose Import Contacts and upload your CSV file.
  4. The tool will ask you to match the data columns. Map the Email column from your CSV exactly to the tool’s Email Address field.
  5. Finish the import process.
