Affiliate Reports and CSV Exports

Once your program is running, you need to know what it is producing. Affiliate and Referral Program for WooCommerce keeps a running scoreboard on its own dashboard, and lets you take the underlying data out as a spreadsheet whenever you need it. This guide covers the figures on that dashboard, what each one counts, and how to export your affiliates and their commissions. Part of the plugin documentation.

Go to: WooCommerce > Affiliate & Referral > Dashboard. The cards across the top answer the questions you are most likely to be asked in a monthly review:

  • Total affiliates – how many people are signed up to promote you.
  • Total Referrals – how many earnings the program has generated, counting every kind: sales, network commission, bonuses and rank rewards.
  • Total Commission – what those earnings add up to. This is the number to budget against: it includes everything still waiting for your approval, and leaves out only what you have rejected.
  • Approved Commission – the part you have already signed off, and which is therefore sitting in affiliate wallets.
  • Pending Commission – earnings awaiting your decision on Manage Referrals.
  • Rejected Commission – what you turned down, kept visible so the numbers reconcile.
  • Payout Paid and Payout Pending – money actually sent to affiliates, and withdrawal requests still queued. These come from the payout side, not from commission approval.

These cards cover your affiliate program. Rewards from the customer refer-a-friend program are deliberately excluded — it is a separate programme with its own balances, and mixing the two would misstate both.

Clicks, purchases and conversion

Three tiles further down measure how well the traffic your affiliates send actually converts:

  • Total click – how many times affiliate links have been opened.
  • Total Purchase – how many of those visits ended in an order. This tile is a count of orders; the dashboard prints your currency symbol in front of it, which you can ignore.
  • Conversion Ratio – the second as a percentage of the first.

These three count links your affiliates built with the link generator, which is where the click and purchase counters live. A sale credited through a coupon code still earns commission and still appears in every commission figure above — it simply has no link click to count, so it does not move the conversion ratio.

Recent activity and your strongest affiliates

Two short tables close the dashboard. Last 5 Referrals lists the most recent earnings with their Amount, Date, User and Time — a quick check that tracking is still working after a change. Top 5 Affiliates ranks your partners by what they have earned, showing User, Referrals and Total Amount, which is the shortlist worth a bonus, a better rate or a personal email.

Export your commission records

On WooCommerce > Affiliate & Referral > Manage Referrals, use Filter & Export Referral Table to set a From: and To: date, then take the result as CSV or PDF. Generate Referral CSV downloads the commission records as a spreadsheet with one row per earning:

  • Order ID – the order the commission came from, so you can reconcile against WooCommerce.
  • Affiliate ID and Affiliate Name – who earned it.
  • Request Date – when the earning was created.
  • Amount – the commission.
  • Device – whether the buyer was on desktop or mobile.

The Affiliates screen mirrors this. Filter & Export Affiliate Table narrows by date and exports to CSV or PDF, and Generate Affiliate CSV produces the roster: Affiliate ID, Affiliate Name, Affiliate Email, and Parent Id with Parent Name — the affiliate who recruited them. That last pair makes the file useful for more than a mail merge: it is a flat representation of your multi-tier network, one row per member.

Exporting the affiliate roster

These exports are one-way. There is no import: editing a downloaded file and uploading it will not create or change affiliates, commissions or payouts. Treat the files as reporting and accounting copies, and make every change on the screens themselves.

Does Total Commission include earnings I have not approved yet?

Yes. Total Commission counts pending and approved earnings together and excludes only rejected ones, so it is a liability figure rather than a paid figure. Compare it with Approved Commission to see how much is already committed, and with Payout Paid to see how much has actually left your account.

Why is my conversion ratio lower than my sales suggest?

The ratio compares purchases to clicks on generated referral links. Sales credited another way — a coupon code, or a customer already tied to an affiliate by lifetime commission — count in your commission totals but bring no click with them, so they lower the ratio without being lost.

Can I import affiliates or commissions from a spreadsheet?

No. The exports are read-only downloads and there is no import routine. Affiliates join through the registration form, and a one-off earning can be added by hand with Enter Referral Manually on the Manage Referrals screen.
